Sanctumel Finance

Your treasurer is not an accountant. Your books are.

They record who, how much, what for. Out come, at the same instant, the double-entry posting, the trial balance, the income statement and the document the person is waiting for. Without knowing a single account number.

Year end

The moment you find out what is missing

Every year, the same scene: the accountant asks for a trial balance and a general ledger, and the treasurer opens a spreadsheet with amounts, dates, and nothing that looks like accounting. Everything has to be rebuilt from memory. Here there is nothing to rebuild: every entry has already produced its posting.

One entry, one posting
The engine sets the debit and the credit for you, on the right accounts. The treasurer never has to know they just posted to 7300.
Statements that stand up
Trial balance, general ledger, income statement, statement of assets. They print on your church letterhead and go straight to your accountant.
Your country's chart of accounts
PCMN in Belgium, PCG in France, SYSCOHADA across the seventeen member states, and a generic chart elsewhere. Your accountant recognises the accounts.

Tithes and membership dues

Know who gave, without keeping a notebook

A dues spreadsheet survives three months. After that nobody knows who is up to date, who paid ahead, or what should be chased. And chasing someone who has already paid costs more than not chasing at all.

Every payment allocates itself
One hundred on a pledge of twenty a month fills five months, from the oldest to the most recent. Advances and arrears read at a glance.
Tax receipts without retyping
Named, numbered, in the donor's language. They go out by email or print in one pass for the whole year.
Reminders send themselves
A personal payment link, the statement attached, and the chase that stops on its own as soon as the person has paid.
The recording mistake

Getting it wrong must not be a disaster

This is what paralyses a volunteer: the fear of the wrong figure that can no longer be fixed. Most software offers only two ways out, quietly retouching or voiding everything. The first destroys the value of the ledger, the second makes it unreadable. We separate the two mistakes, because they have nothing in common.

Misfiled: refile it
Right amount, wrong month or wrong category? The money did not move: the entry is corrected in place, with its trace. No justification to write for a slip of the mouse.
Wrong amount: nothing disappears
The original entry stays, struck through, with its reason; a corrected entry replaces it. That is the accounting rule, and it is what makes your ledger stand up.
Closed is closed
A locked financial year cannot be changed. Reopening it requires a reason, and it shows in the log.

What we do, and what we will not do.

Accounting software that promises everything is paid for in lost trust at the first audit. Here is the line, written in advance.

What Finance does
  • Full double-entry accounting, with the statements you hand to a chartered accountant
  • Gifts, tithes and membership dues tracked person by person, with their receipts and statements
  • Bank reconciliation by statement import (CAMT.053 or CSV), never a match decided for you
  • Locked period closes, a trace of every correction, and the export for your accountant
What we will not do
  • Hold your money: not a cent passes through our accounts, and we do not keep your bank details
  • Run your payroll: it is a regulated profession, with its scales and its filings
  • File your taxes for you: every country has its rules, and they change. We prepare the documents, your accountant signs

Open your books this Sunday.

The first entry takes a minute, and it already produces its posting. No accounting setup to do: your country's chart is in place from the moment the church is created.
